New Student Notification

Central Enrollment does not contact each individual school to inform them of a new student due to the volume of enrollments in the District.  Instead, schools are expected to run the New Enrollment Notification Report. The New Enrollment Notification report allows users to view all newly enrolled students to their building within a specified date range. 

This report is found in Infinite Campus with the following path: Main Menu > Student Information > Reports > New Enrollment Notification.

Certify will also send a notification on the building scorecard that a student’s enrollment start date is equal to the current date.  The student must receive a full schedule starting on their enrollment date to the building.  If the student is not scheduled by their enrollment start date, a violation will appear on the school’s Certify scorecard. 

The scheduler will view the student's Enrollment screen to determine the appropriate start date. For example, if a student’s enrollment begins on 9/09/2024, but the student does not attend school until 9/11/2023, the schedule start date MUST be 9/09/2024. The scheduler must then ensure that all absences between 9/09 and 9/011 are entered on the student's attendance tab.

To schedule a new student, use the Search feature and select courses to add to the schedule. For Elementary School students, search for courses by Team.  This will quickly fill in a student’s schedule based on grade level and the teacher they are assigned to. 

Special Note: For Elementary School Staff

A quick way to determine how many students in each teacher’s class would be to view the Course Sections screen for the Elementary Attendance course. This will display all of the sections, teachers, room numbers, team names, and the seat count for each class.

  1. Click the Search icon.

  1. Select the Course/Section search option.

  1. Type in ‘Elementary Attendance’.

  1. Click Search.

  1. Click on the name of the course.

  1. This will take you to the ‘Course Information’ screen.

  1. On the Related Tools menu, click ‘Course Sections’.

Typically, for elementary schools, the teacher with the LEAST number of students for that grade level will be assigned the new student, unless otherwise requested by the building administrator. Before scheduling a new student, determine which teacher has space and then make a note of the Team name for that teacher to use in the Walk-In Scheduler.
