Before you Load Checklist

This checklist will help you determine if you are ready to mass load your students into your master schedule.

Bell Schedule has been updated
  • Especially important if you have added /removed periods, or moved to a new structure (i.e. rotating days, alternate schedules)

 

All Course Requests have been added
  • The scheduling board will only load courses that have been requested

 

Master Schedule is complete
  • All courses being offered have been requested and added to your course deck

  • Sections have been created and assigned to the correct periods / terms

  • Set up teams as needed

  • Sections have been assigned a team (where applicable)

 

Course Rules have been added as needed
  • Make sure any rules you need are created/updated.

  • Most common are rules that keep students in the same period/section/teacher for X/Y courses

 

Verify Course Planner setup
  • In the course planner, make sure that the Terms, Schedules, Periods, and Max students are properly set for each course

 

Set max students for sections as needed (SPED, etc.)
  • Set overrides for sections that need a different max students number than the default for the course

  • All SPED resource rooms (section numbers 200 and above) should have their sections set to a max of 0

  • Check other courses as well, such as those that require computer labs with limited seats, or courses that can have more students than most (Band, Choir, Gym, etc.)

 

  • SPED students that need to be in specific sections (resource rooms, inclusion rooms) should be manually scheduled first

  • Make sure to LOCK these students so that any unloads do not affect these placements

 

  • Schedule blockers should be manually placed for students who are offsite all or part of the day. Fort Hayes CC, Downtown HS, Global Academy, Gifted Academy, College Credit Plus, etc.

 

  • this is important before opening the Schedule Board, so you don’t overwrite their work

 

 

 

  • your first time opening the trial, you should lock all manually-scheduled courses in place
