On Wednesday, February 20 , 2019, students in Cohort 2020 will be taking the ACT Test.  Only students in cohort 2020 are expected to report to the building for testing from 7:30 a.m. until 11:30 a.m.  All other students are expected to report to the building at 11:30 a.m. (The district will be having a second bus run.)   Any additional students reporting for any other test or reason, must be kept track of and reported to the office, in writing.  


Please follow the steps below in order to record attendance on this day:

Teacher Responsibilities


Students taking the ACT

  • Each teacher proctoring the test must have a paper roster for students that are going to be testing in their class.
  • Attendance must be taken on all cohort 2020 students that are required to take the test.
  • Use the Cohort 2020 report to create your rosters.  
  • Teachers must mark students ABSENT or PRESENT on these rosters.


Students NOT taking the ACT:

  • Take attendance for the designated attendance period ONLY in Infinite Campus.
  • This period will be determined by the Building Administrator.
  • If a 2020 Cohort student comes to your class and is already marked absent, notify the attendance secretary or send the student to the office so that they can be marked present.


Building Administrator Responsibilities


Students taking the ACT:

  • Ensure all paper rosters are collected and scanned
    • (warning) Make sure that these rosters are emailed to the Student Data Specialist as soon as possible in order for them to proceed with marking these students absent (when applicable). 
    • Copy Kathleen Lewis at Fort Hayes Career Center on the email so that any students testing at their home school can be Class Excused from the Career Center in the morning.

Students NOT taking the ACT:

  • To record attendance on the remaining students reporting at 11:30 a.m., choose a designated attendance period for the day.
    • It is recommended to use the first full attendance period after lunch.
    • Notify your Student Data Compliance Specialist what period that will be.  
    • Teachers will enter attendance for ONLY that period directly into Infinite Campus.  This will capture any students that are in the building and will be used to record the afternoon attendance. 

Attendance Secretary Responsibilitites


  • Scan all paper rosters, file in Daily Attendance Folder, and email them Student Data Specialist as soon as possible.
  • Verify all attendance has been entered by the teacher during designated attendance period.
  • Enter all Tardies and Early Leaves 
  • Print the Daily Attendance Summary and file it in the day's attendance file
    • Email the Student Data Compliance Specialist, notifying them that the attendance has been entered, and the Attendance Summary has been filed. 


Students arriving late or leaving early:

  • Tardy students must sign in on the Late Arrival Log as they arrive to school,
    • Only students arriving after 11:30 a.m. are considered tardy on this day. 
  • Students leaving the building before the dismissal time must be signed out on the Early Release Log.
    • Use the Check Out Mode in the Attendance Wizard in Infinite Campus to check out these students
    • (warning) This step must be completed BEFORE the attendance during the designated period has been entered and rolled for the day.


Student Data Specialist Responsibilities


  • Roll any students marked absent during the designated attendance period, from Unknown to Unexcused, using the "Batch Edit" mode in Infinite Campus
    • Students will be marked Absent Unexcused from 11:30 a.m. - 2:30 p.m. 
    • The Overwrite Existing Attendance box must be unchecked, so that any Tardies, Early Leaves or Discipline Related Attendance is not overwritten.
