b.     If a bus arrives to school late, please follow the procedure indicated in Item #2.

4. If a student attends a CCS school but receives transportation from another district AND the transporting district is cancelled due to calamity, such students may be coded as follows:

  •  If the student has been identified for an alternative assessment, is on a significantly modified curriculum, and is unable to complete traditional home assignments, the checklist developed and approved by the school should be provided. If the work is completed and returned to the school, the student may be coded as “Late Bus.” The comments field must indicate the name of the transporting district and that it was closed due to a calamity.

  • If the student is capable of completing traditional home assignments, the work should be provided by the school. If the work is completed and returned to the school, the student may be coded as “Late Bus.” The comments field must indicate the name of the transporting district and that it was closed due to a calamity.

  • If no work is completed and returned to the school, the student may still be coded as “Excused” provided the parent/guardian has informed the school in a manner consistent with Board Policy 5131.3. The comments field must indicate the name of the transporting district and that it was closed due to a calamity.

5. The following is an excerpt from the document Guidelines for Coding for Medical Issues (Rev. 10/13):

If a student is unable to attend school due to weather conditions that impact the use of their wheelchair or other medical device used for mobility (e.g., it is extremely icy or the chair cannot be pushed to the bus stop because of deep snow), the absence may be coded as follows:

  • If the student has been identified for an alternative assessment, are on a significantly modified curriculum, and is unable to complete traditional home assignments, the checklist developed and approved by the school should be provided. If the work is completed and returned to the school, the student may be coded as “Medical with Class Work.”

  •  If the student is capable of completing traditional home assignments, the work should be provided by the school. If the work is completed and returned to the school, the student may be coded as “Medical with Class Work.”

  •  If no work is completed and returned to the school, the student may still be coded as “Excused” provided the parent/guardian has informed the school in a manner consistent with Board Policy 5131.3.
