A household can have as many members as needed to list all people that live in the dwelling.  When members of the household move in or out of the dwelling it may be necessary to change the household membership.

The physical address of the dwelling is modified by changing the address tab.  The instructions provided although extensive are in no way inclusive of the many different scenarios possible.

Verify the Members

To add or change a household members, you must first search for the household.

Path: Index > Census > Households > Search

Search for the Household. 

  1. Click the Search Tab.
  2. Select Household from the drop-down menu.
  3. Click in the field below Household and enter the Person's name or a student number, click Go
    • The Search Results display on the Search tab.

Tip

Searching households by student number will return all of the households in which the student is a member.

Add a Missing Household Member

To add a household members, you must first search for the household.

Path: Index > Census > Households > Search

Search for the Household. 

  1. Click the Search Tab.
  2. Select Household from the drop-down menu.
  3. Click in the field below Household and enter the Person's name or a student number, click Go
    • The Search Results display on the Search tab.
  4. Find New Member - Search for a person already tracked in Campus using the fields provided, required fields are in red. Select a person from the list or click on Create New Person.

Warning
If the new household member/parent is also a CCS Employee please create a new Person. This will allow Infinite Campus to keep the Employee and Parent Portal accounts separated.

Custodial Parents/Guardians living in a separate dwelling must have secondary household created.

Remove a Person from a Household

If it is determined that guardians, students, and/or contacts in the household are not associated with a student in the district, end their Household membership.  

To remove a household members, you must first search for the household. 

Path: Index > Census > Households > Search

  1. Choose Household from the drop-down menu.
  2. Enter the person’s name.
    1. Click Go.
  3. In the Search results, click on the name of the Household, not the name of the person.
  4. Click the Members Tab.
  5. Click on the person’s name.
    1. The Household Member Detail window will open.
  6. Enter the end date.  The current date can be used.
  7. Click Save.

When

ended

end dated, names will remain on the household until midnight of the end date.

Important Reminders for End Dating a member from a household

  • Prior to end-dating a household member check the enrollment registration form and/or emergency contact card to determine if they are associated with the student.
  • If the person is an emergency contact (Non-custodial) and lives separate from the households primary address, the person must not be in the household, but a non-household relationship to the student:
    • End the Household membership for the person. 
    • Create a non-household relationship on the student’s Relationships tab.  Refer to the Add an Emergency Contact Quick Guide instructions.

IMPORTANT:  If you have students and guardians in the household who are not connected to others in the household, split the household by end dating your guardians and students from the household and creating a new household for

them. 

Relationship to Students

The Relationships tab lists a connection between the selected person and other persons, either within a household or outside of a household. Emergency contacts, grandparents, day care providers, etc.

Tip

Before establishing or changing relationships, verify the primary household is complete to the best of knowledge.

To review the relationships, you must first search for the student. 

Path: Index > Census > People > Search

Checking Parent/Guardian Check Box

  1. Select Student from the drop-down list.
  2. Enter the student’s name, click Go
    1. If more than one student displays in the Search Results, click on the name of the appropriate student.
  3. Click on the Relationships tab.
  4. Make sure the boxes for Guardian, Mailing, and Portal are checked as applicable.
  5. Click Save.

Create a New Household

Create a separate household for the guardian and student who was end dated from the household 

 

  1. Click on the Index tab.
  2. Click Census.
  3. Click Census Wizard.

  1. In the Person Search fields, enter the person’s last name.  The first name can also be entered.
  2. Click Search.  It is very important to remember to not use the fields on the Search tab when using the Census Wizard.
    1. The results from the Census Wizard search will display on the Search tab.
  3. Click on the guardian’s name.  It will be listed under People not in Households.
    1. The guardian will now display in the Assembling a New Household window on the right side of the screen.
    2. Repeat 1 – 3 above to add another guardian to the household.
  4. Click Clear Search Fields.

5. In the House/P.O. Number field, enter the house number.

6. In the Street Name field, enter the name of the street. 

    • DO NOT enter any street directions, such as E or East, S or South, etc. 
    • DO NOT enter a street suffix, such as Ave, St or Street, etc.

7. Click Search.  Results will display on the Search tab. 

8. Click on the address of the guardian.  It may or may not be listed under Addresses not in Households.

    • The address will display in the Editing an Existing Household window.

9. Click Clear Search Fields.

10. In the Person Search fields, enter the person’s last name.  The first name can also be entered.

11. Click Search.  It is very important to remember to not use the fields on the Search tab when using the Census Wizard.

    • The results from the Census Wizard search will display on the Search tab.

12. Click on the student’s name.

    • The student will now display in the Assembling a New Household window on the right side of the screen.
    • Repeat steps 10 – 12 for all students and other persons who should be added to the household.

13. Click Continue – Step 2 >

  1. Enter the Household name following District practices of using the youngest student’s last name.
  2. Enter the Household Phone Number.
  3. Enter a start date for the household address.  The current date can be entered.
  4. Check the Mailing box. 
  5. Enter a Start Date for the Household members.  The current date can be entered.
  6. Click Save & Continue – Step 3 >

  1. Verify the guardian’s relationship to the student. 
    1. If Keep the relationships was selected when end dating the guardian from the previous household, the relationships to the student will already display. 
    2. Leave the Start Date at the default. 
    3. The Guardian, Mailing, Portal and Messenger boxes should be checked.
    4. Repeat for all students in the household.
    5. DO NOT change the relationship fields for persons other than students, i.e. guardian, etc.
  2. Click Save & Done once the relationships to the student(s) are complete.
    1. The screen will ‘flash’ and return to the Edit Relationships screen. 
    2. Perform another household search for the guardian or student to view the results.
