Address Change When Splitting a Household

When changing a student's address, ALL members in the household will be affected.   Prior to making any changes, review the household and verify that ALL members will reside at the new address.  If there are members that will not be moving to the new address with the parent/guardian, it is necessary to move the parent(s)/guardian(s) and student(s) to a new household, rather than changing the address for the current household.

 Find instructions below on how to split a household.  

Primary address changes must not be processed without the proper address verification and an Address Change Form.  

SITUATION

In this situation, you are informed that Della Duck and her children, Huey, Duey and Louie, were living with Donald and Daisy Duck at their home.  They were set up as one household, Della and her children have now bought a home and are moving out of Donald and Daisy's home.  They must be set up in their own household before changing an address, changing the current household address only, will move all members of the household to the new address.  We refer to this as "splitting a household"

The steps below will direct you on how to split a household.Break

I. Search for a Household and Verify Members


To add or change household members, you must first search for the household.

Path: Index > Census > Households > Search

Search for the Household. 

  1. Click the Search Tab.
  2. Select Household from the drop-down menu.
  3. Click in the field below Household and enter the Person's name or a student number.
  4. Click Go
    • The Search Results display on the Search tab.
  5. Click on the Household name to review the household (not the person). 


II. End Date Member(s) from a Household

End date the people that are moving to another household.  In this situation, Della, Huey, Dewey and Louie need removed from Donald and Daisy's household and set up into their own household.

  1. Click the Members Tab.
  2. Click on the person’s name.
    1. The Household Member Detail window will open.

  3. Enter the end date.  The current date can be used.
  4. Click Save.

    Household Relationships

    Once you hit save, a Household Relationships window will open. 

    It is best to leave the selection at the default of "Keep the Relationships" at this time.  (You can manually go back and edit any relationships between people.)

  5. Select the option (In this example we chose to keep the relationships).

  6. Click OK.The end date now appears on the person that you end dated. Repeat the above steps for the remaining members that are moving to the new household

III. Create a New Household

Create a new household for a family.  In this situation, Della, Huey, Dewey and Louie were removed from Donald and Daisy's household and need to be set up into their own household.

  1. Click the Index Tab.
  2. Click Census
  3. Click on Add Household
  4. Enter Search criteria: Either the Student's name or student number, guardian's name, etc...
  5. Click Search. (Any results matching the search criteria will display.  If the members are showing up in the search, they may already be a member of a household.  If you still need to create a household, proceed to next step.)
  6. Click the New Household button.
  7. Enter the new household name.  The preferred name would be the Parent/Guardian name.
  8. Enter the household phone number that the parent/guardian wishes to be the main phone number.  
  9. Comments are optional.
  10. Click Save

The household has now been created.  You now need to add the address and members to the households.

IV. Add an Address to the Household

Now that the household has been created, you need to add the address to the household.

Never add or change an address for a household without obtaining proper documentation.  You must upload the documentation to the student's documents tab.

  1. Click the Addresses Tab
  2. Click Find New Address.                 The Add Address window will open. 
  3. Enter the street number of the new address in the House/P.O.# field.
  4. Enter the street name in the Street Name field. (Do not use directional values or street types such as South, North, Road, Lane,etc... )
  5. Click Search.  A list of addresses matching the search criteria will display in the Address Window.
  6. Select the appropriate address.

    DO NOT CLICK "NEW ADDRESS"

    If the address is not found, check the documentation you received as Proof of Address to make sure you are entering the correct information.  If the address is not listed in IC, you will need to complete a data request for a new address to be added via the CCSDAS.

  7. Enter a start date for the new address.
  8. The mailing box will be checked by default.  
  9. Click Save. 

The address will appear with the start date and it is indicated that this is the primary addressNext you will add the members to the household.

V. Add Members into the Household

The household now has an address, but the members must be added to the household. 

Never add or change an address for a household without obtaining proper documentation.  You must upload the documentation to the student's documents tab.

  1. Click the Members Tab
  2. Click on Find New Member.                The Person Search field will pop up. 
  3. Enter the search criteria for the first member of the household.  
  4. Click Search. 
  5. The search results will display.  Select the person from the search results.
  6. Enter the Start Date that the student became a member of the household.
  7. Click Save.

Repeat the above steps to add all members into the household.

Your new household is complete!
