Questions from August Training Sessions

Hello CCS Office Professionals,

First, let me say thank you to all the Office Professionals who joined my session on Badge Training during the Secretary Academy.  I think we had a great time.  I love getting to see everyone!  It is always the most fun I have all school year. During my training sessions, many of you came up with wonderful questions and comments, and I would like to thank you for sharing.  I wanted to take this opportunity to share with you some of the questions that were asked along with a response from Student Services.  It is always best practice to make sure that we all have access to the same information as to avoid confusion.  Below are the questions and the answers that I have received.  If you have any other questions, PLEASE share them with me.  I am here to help!

Do we print a new badge with our logo when a student comes from another CCS school?

Yes, if a student comes from another CCS School, we will print a new badge for the student displaying the new logo. 

 

Will there be a cost for lost or broken badges?

At this time there will not be a charge for lost or broken badges.

 

Do the badges the students have from Summer School still work?

If the badge was from a 2022 Summer School building, they will still work.

 

Do the badges from students in the schools that were part of the pilot program still work?

No, they do not work, those students will be issued new badges. Remember that the 2022 Summer School badges DO work.

 

Do students have to have their badge to get on a bus?

Yes, they are asked to have their badge, however, they will not be denied transportation if they do not have their badge.  

 

Can the bus driver refuse a student that does not have a badge?

No, the bus driver should not refuse the student transportation.

 

What if the parent/student refuses to take a photo or wear the badge?

We have placeholder images that we can use. 

 

What about schools that have not done school pictures in the last two years, do we have to take all our student’s photos individually?

Yes, If we do not have updated photos for the students, we will be required to take them. 

 

What do we do with badges that are old or do not work?

Please shred any badges that are no longer functioning or have been replaced with an updated badge.  Do not throw the badges away in the trash.  They have identifiable student information and should be shredded. 

 

Are we required to take photos of all Pre-School and Kindergarten?

Yes, if no photo is available for the student. 

 

We received ID cards at our school today and there are some that were sent to us that the students are not enrolled here at Starling.  Are we to send them interoffice to the school or where should we send them?

If the badges are for another CCS School, please send them to the school via interoffice mail. 

 

When will I get badges, lanyards, and holders? 

You should be receiving a box of lanyards, and plastic sleeves at your school on or after September 15th.  The ID Badges will follow shortly after.

 

LMSA has the equipment already, but it is in an administrator's office. I will be taking on that responsibility next year and we need to set it up in the main office. Can you please assist me with how to get this accomplished?

I tried to print a badge for Kingston Gibbs #2124569.  I heard a beep but still do not have a QR code printing.  

Thank you for bringing this issue to our attention.  We requested that a change be made to the aspect ratio for the pictures of the students.  However, this change was also applied to the QR Code.   We are working to get this fixed. 

 

Do all badges need to have a QR code printed on them?

No

 

How often will the pictures and enrollments be updated in the system?  On IC and Evolis system?

The pictures should be part of a daily feed to the Badge software from Infinite Campus.  

 

If a school has boxes of old badges from the previous year or summer, will they get printed again and what do we do with the old ones?

Please shred unused badges.  If they are from 2022 Summer School, do not destroy them, as they still work. 

 

How often is the system updated?

We are working on a nightly feed from Infinite Campus to the Badge Software. 

 

After the system is stablished, how often are they replacing badges?  Yearly?

We plan to replace the badges annually for now. 

 

Do you know when we will get the emails from the company to set up our account?  

We are sending out a survey to all administrators asking them to identify any staff member that needs access to Badge but has not received an email to set up their login information. 

 

 Good afternoon Meka, not sure if it's too soon to be concerned about creating a password for the student badge system or not, but we have received our machines but no link to create a password, I tried going into the "forgot password" link to create one but the message I got was my school email is unknown, can you please help me out, thanks.

For those of you who may not have your login information yet, we will be sending out a survey to identify those individuals so we can work on getting an account created for you. 

 

We got our package and IT is setting it up right now. Can you please send us more badges?

All schools will receive a separate shipment of your current student cards, lanyards, and plastic sleeves before school starts. 

 

Do all badges need a student photo?

Yes. 

 

Do we put in a help desk ticket if we need help/support with Badge? Who should we talk to?

Yes, you can now put in a ticket for the Success Badges.

 

 Can I run my Badge Software on a laptop?

Yes, but not on a Chromebook.
