Repeated Courses
Students are permitted to repeat a course to try and earn a higher grade.
Because we do not have an automatic mechanism for dealing with repeated courses, counselors must manually update the transcript so that the GPA and credits appear correctly.
Determine Repeat Course
This example transcript has SOCIOLOGY counting twice for credit on the transcript.
The highest grade should count for credit and toward Cum GPA
The lower grade will remain on the transcript, but earned credit needs to be '0.00' and it should NOT count in Cum GPA
Editing transcript grades
PATH: Index > Student Information> General > Transcript Tab
Query for a student who's transcript needs to be updated
Click on the Transcript tab
Locate the repeated course that needs updated, and click on the row to edit it
Scroll down to the Scoring Information section
Change the GPA Weight to NULL (this box should be empty - NOT zero) - this will prevent this course from being calculated in the CUM GPA
Next, scroll down to the Transcript Credit Information section
Change the Credits Earned to 0.0 - this will ensure the student does not receive credit twice for the same course

After changing the grade, enter a comment in the Comments box in the Additional Information section to indicate why this change was made. These comments will NOT appear on the printed transcript.
Here is what the transcript looks like after the change has been made:
Note that the earned credits for the course we updated is now 0.000. The CUM GPA has increased since we are no longer factoring in the course with the lower grade. Finally, the total CUM credits has decreased since this course cannot count twice for credit.
