Batch Mode

Batch Mode is used to enter late arrivals and early leaves at the secondary buildings. This process will calculate minutes accurately for students, but will not interfere with attendance that may have been entered by teachers for other period(s).   

The Batch Mode can be used at elementary and secondary buildings when a student will be absent from school for consecutive days. 

Note:

An example of when to use batch for recording multiple days absence would be; a student turns in a doctor’s note indicating they will be absent for a week due to surgery.



PATH: Index => Attendance => Attendance Wizard

  1. Attendance Date: The current date will automatically be entered into the date field.  


    1. This can be changed to create or edit attendance events for any attendance date.  You can either type the date or click on the calendar icon to choose the date.  In the event of consecutive days absent, select the first date the student will be absent.

  2. Choose Batch Mode


  3. Enter the student’s name or student number.


  4. Click Search.  The search results will appear in the column labeled B.


  5. Select the students from Column B to move to Column C.  Only students in Column C will have attendance entered for them.  Repeat Steps 3 and 4 to search for additional students.  Note:  To remove a student’s name from the list, click on their name in column C.


  6. Select the Attendance Code from the drop down list that relates to the absence for the days. This code will be applied to all students in Column C.


  7. Enter the Date and Time range that the student will be absent.  

    From: Enter the first date of absence and the time. For tardy students the From Time will be the official start time for school. For students leaving early the From Time will be the time indicated on the Early Leave Log. For students out all day the From Time will be the official start of school time.

    To: Enter the last date of absence and the time. For tardy students the To Time will be the time indicated on the Late Arrival Log. For students leaving early the To Time will be the official end of the school day. For students out all day the To Time will be the official end of school time.


  8. Enter Comments related to the attendance entry according to documentation received.  


  9. Change the Comment Options to Overwrite Existing Comments. Verify that the Overwrite Existing Data box is checked.  


  10. Click Save.

 

Tip:

When entering comments in the Comment Field use abbreviations but be specific. Some examples could include:

  1. Signed in 817

  2. Signed out 120

  3. Dr. note on file

  4. Parent called in - Ill

  5. OGT Testing

  6. Field Trip - Zoo
