Final Enrollment Roll Forward

By this date, the final pass to roll students from 20-21 to their next year school in 21-22 will be completed. This will be the last mass Enrollment Roll forward.  Any students new to the district or those who move over the summer will be enrolled in (or moved to) the appropriate school by Central Enrollment.

Final Post to Transcript

We will make one final pass on through all students (grades 6-12) to be sure any final grades were posted to the transcript tab.

  • By this time you should have run the Transcript Audit Report located here:  Index > Grading & Standards > Reports > Transcript Audit

  • This report will show final grades alongside what was posted to the transcript, and they should match.  In the event that they do not, the transcript should be must be updated to reflect the correct final grade.  Your counselors have the ability to do this.  You must add a comment to any transcript updates so that the change is properly documented. If you counselor is not available, you can submit a grade change request via the CCSDAS.

Previous Year Write/Modify Access Revoked

Access to ADD or UPDATE data from the 21-22 school year will be revoked, and you will only have READ access to last year. This does not affect staff members working in summer school or those groups that complete work over the summer.

Students that are retained (with appropriate form submitted via CCSDAS) will have their 20-21 enrollment adjusted accordingly (changing their grade level and school when appropriate) immediately after the form is processed.

Portal Access Updated to hide Student Schedules

Access to the Portal will be updated to hide schedule information for students to allow schedulers to finalize students’ schedules before parents/students can access them online.

Additional Scheduling Tools Granted

Access will be enabled for schools to use the Roster Setup tool, to delete course sections, and for counselors to overload sections.

Access to master scheduling tools will be revoked. Schools will no longer be able to use the Schedule Wizard and Roster Setup tools.  Access to delete sections and counselor access to overload sections will be revoked.

Deadline to complete PSW Assessments

All staff that utilize Behavior, Scheduling, and Attendance modules in Infinite Campus are required to complete an annual knowledge assessment in Public School Works (PSW) with an 80% or better score.  All Infinite Campus Assessments must be taken yearly to maintain tool rights to enter data into Infinite Campus. Those who have not completed their required assessments by 2:00pm on August 13, 2021  will have security rights revoked from Behavior, Scheduling and Attendance modules until ALL required courses have been completed successfully. Revoke Access if PSW is not completed

On this date, users will start to see tool rights revoked if they have not passed the necessary assessments for their role. If users pass their assessments by the   deadline, no further action is required.   Only those users who do not meet the deadline will have their tool rights revoked.  If tool rights have been revoked, check PSW Transcript (instructions: Public School Works (PSW) ) to be sure that ALL of your required assessments are complete.  If not, users must take and pass the assessments and then submit a Campus Support Ticket to have tool rights to be reinstated.  If tool rights have been revoked in error, please submit a ticket so that the issue can be corrected.
