NOTE: Split Classes

While checking attendance courses pay special attention to sections with split grade levels. They must be marked as split classes on the individual sections of course N00030 ELEMENTARY ATTENDANCE. This is required for outside applications such as school choice to calculate student enrollment correctly.

While checking these sections, enter the appropriate split class type found right above the section schedule placement.

Verify Lunch Section Settings

When the Course Placement Restrictions and the lunch course sections are created in the Schedule Wizard, the Section Schedule Placement check marks should display in the correct lunch time.  Verify that each section is placed accurately.

  1. Click on the Search tab and select Course/Section from the drop-down menu.

  2. Enter lunch in the search box and click Go.

  3. The lunch course will display with all of the sections.

  4. Select a Section

  5. In the Teacher Display Name field, enter the Lunch number and time frame it is scheduled during the day.

  6. Verify the Team is correct

  7. Check all boxes for each quarter for the period the lunch is scheduled.

  8. Click Save.

Verify PRE-K AM/PM Attendance Section Settings

  1. Click on the Search tab and select Course/Section from the drop-down menu.

  2. Enter the Course number (N00040- AM, N00050- PM), click Go.

  3. Expand on the PRE-K AM/PM Attendance course to display all sections.

  4. Select a Section

    1. The Section tab will display on the right side of your work screen.

  5. Check the Homeroom box

  6. On Section Schedule Placement, check all boxes for each quarter for only the H periods that section will meet. (See below for examples)

  7. Click Save.

  8. Repeat for all PRE-K AM / PM Attendance sections.

Example: PRE-K AM Attendance ends at 11:30 a.m.  We have check marked all the H periods that fall between 9 a.m. and 11:30 a.m.

Verify Elementary Blocker Settings

All Elementary Schools need to have one blocker section each for Gifted Academy All Day, No Show, and Options for Success. All of the Periods should be check marked in the Section Schedule Placement for each of these blockers.

  1. Click on the Search tab and select Course/Section from the drop-down menu.

  2. Enter N9 into the search criteria and click Go.

  3. Verify that each of the following courses have sections created with ALL periods check marked. (Note: click the check boxes next to the quarter name to select all check boxes for that quarter. You will enter your administrator as the primary teacher for each of these course sections:

  • N90130 - No Show

  • N92111 - Options for Success

  • N92300 - Gifted Academy All Day

  • N90137 – Located Not Attending

  • N90135 - Unable to Locate

  1. Select the next school year from the drop-down menu(Remember to change the year back when completing current year tasks).

  1. The Section tab will display on the right side of your work screen.

Check the Homeroom box

  1. All students should have one homeroom period during the day.  While this is not required for attendance, it is important for running certain reports as well as feeding data to third party applications like SIRSI (Library Services) and Learning Circle.

On Section Schedule Placement, check all boxes for each quarter for all attendance periods beginning with an H.

  1. Check all periods above the LA period except for the period this section goes to lunch.

  2. For instance, if the section goes to the second lunch (L2), then L2 will not be marked, but L1 will be filled in because the section does not meet for lunch at this time.

Repeat for all Elementary Attendance sections. 

  1. On the Index tab, click Scheduling > Reports > Master Schedule.

  2. Keep all settings and generate the report.

  3. Check the following information:

a.     Check all Section Numbers for accuracy.

b.     Verify all Teachers are correctly assigned.

c.     Verify all room numbers are correct

d.     Verify that all sections are assigned to the correct Team if applicable.

e.     Verify all sections are in the correct period.
