What is a filter? In terms of data reporting, a filter is simply a tool that narrows down a large set of data into a smaller, more manageable set. For example, consider a birthday report you would like to generate based on all students in your school. You could easily create this by grabbing the student name and date of birth when creating your report. But suppose you wanted to limit your results to the month of January? This is where you would use a filter. By limiting your results to the month of January, you have ‘filtered’ your data set to just the information that you need.

Filters can be this simple, but they can also get much more complex, depending on the type of report you are trying to generate.

After you have created one or more filters, you can create a report based on this filter. A report is simply a set of data that is formatted in a useful way, such as a spreadsheet or PDF document that can be organized however you wish.
